Admission to a DP: Key points.

1. RESPONSIBLE BODY AND ADMISSION REQUIREMENTS

Admission to a DP is the responsibility of its Academic Committee, which may establish additional requirements and criteria for the selection and admission of students. Applicants should consult the specific information on admission on the program’s website and follow the instructions.

2. PRESENTATION OF APPLICATIONS

For the first year of enrolment, prospective students must apply for admission to a DP within the regular period established in the academic calendar. Under extraordinary circumstances and provided that the program has available spaces, applications may be submitted at any other time during the academic year.

Applications may be completed:

    • On-line, through electronic registration or virtual secretary's office.
    • In person, at the headquarters of the corresponding program (only if this option is available on the chosen program’s website).
    • By postal mail.

In the two latter modalities, the application form for admission to doctoral studies must be completed.

The application must be accompanied by the following documentation:

    • Photocopy of ID or passport.
    • Letter of motivation to pursue doctoral studies expressing interest in any of the program’s lines of research (up to two) and proposing, if applicable, a possible thesis supervisor.
    • Application, if applicable, for part-time enrollment, accompanied by the corresponding documentation.
    • Copy of the access-granting university degree (or degrees) diploma, if not obtained at the UZ.
    • If applicable, personal academic certificate of having passed the MIR, QUIR, etc., with positive evaluation of at least two years of training in a program for obtaining the official degree in any of the specialties in Health Sciences (only if applying for admission to programs in the Health Sciences branch).
    • Official degree diploma issued by an institution of an EHEA country other than Spain, when applicable. If the European Diploma Supplement (EDS) is available, the original and a copy must be submitted for comparison. If not, the original and copy of the personal academic certification must be submitted.
    • If applicable, application for access to a doctorate with a foreign degree from a country outside the EHEA.
    • If applicable, proof of disability documentation.
    • If applicable, additional documentation required by the program for which admission is requested.

3. WARNINGS REGARDING THE APPLICATION FOR ADMISSION

    • Those who are pending to obtain the necessary academic requirements for access may submit their application within the admission period established in the academic calendar and be considered by the different program’s Academic Committees. In any case, admission to these programs may not be granted without proof that the aforementioned access requirements have been met before the date of publication of the final admission lists.
    • Applicants may provide just a copy of the documentation required for admission and, if admitted, must present the originals at the time of registration. If unable to provide originals, legalized copies must be provided, which may be verified, controlled, and inspected by the UZ. The inaccuracy, forgery or omission of the data or documents included in the previous communication will result in the cancellation of the place awarded, without prejudice to the criminal, civil or administrative responsibilities that may be applicable.
    • For all purposes, candidates do not acquire the doctoral student status until they formalize the registration, for which they have a period of up to one month from the date of issue of the acceptance letter. After that time, students wishing to begin doctoral studies should reapply for admission. The Academic Committee will cover any vacancies by reaching out to people in the waiting list.

 

4. ADMISSION APPLICATION RESOLUTION: START DATE, STUDY MODE, SUPERVISION.

Each program’s Academic Committee decides whether or not to admit applicants based on the documentation submitted. The lists of admitted and excluded students will be displayed on the bulletin board of the administrative headquarters, as well as on the University bulletin board (e-TOUZ). When the resolution is favorable, the official letter of admission signed by the coordinator will be sent to the applicant from the program’s administrative headquarters. The Academic Committee may declare a candidate unsuitable based on the information contained in the letter of motivation submitted with the application.

If favorable, the admission resolution date will also represent the start date of the doctoral studies.

The Academic Committee will designate the thesis tutor (doctor with recognized research experience linked to the program) and supervisor(s) (doctor with recognized research experience) and will assign the line or lines (up to two) of research in which the thesis is framed. Exceptionally, the appointment of the supervisor may be postponed for up to three months after the date of enrollment. Co-supervision by a third supervisor must be authorized by the Doctoral Committee.

The Academic Committee may modify these assignments at any time during the doctoral program, provided that there are justified reasons.

Once the Academic Committee has assigned a tutor and thesis supervisor (s) to the doctoral student (or changes, if applicable), it will communicate this to the UZDS administration.

The student’s study mode ­– full-time or part-time, and consequently, the time available to complete the thesis – will also be established during the admission process. Full-time doctoral students will have three years from the date of admission to present their doctoral thesis. Part-time doctoral students will have five years. The program’s Academic Committee may also modify the study mode and extend the thesis deadlines upon justified request.

IMPORTANT: For those on a pre-doctoral contract, any change in the thesis title, supervisors, etc., requires explicit endorsement by the funding agency. Processing will be carried out by the Research Management Service of the UZ (SGI).

5. EXTRA TRAINING

Acceptance to the DP may include the requirement of specific extra training that will be detailed in the acceptance resolution. This will be established according to the previous studies taken and may consist of the completion of a certain number of subjects in a master’s program (see each program). Enrollment in these subjects will be after enrollment in the doctoral studies and must be done at the Center responsible for the corresponding master’s program. A copy of the doctorate program’s Academic Committee resolution (showing the extra requirements) and a copy of the enrollment the doctorate program must be submitted. Payment exemptions do not apply to the extra training and public fees must therefore be paid when enrolling for any required master's degree courses. The extra coursework must be taken and passed within the established period. The development of specific extra training will not be counted for the purposes of the duration limit of the doctoral studies. In these cases, the time available until the presentation of the thesis will be extended by 2 months for every 5 ECTS of extra training required.
