Academic Committee

The Academic Committee for each PhD programme is responsible for defining, updating, ensuring the quality of, and coordinating the programme. It must monitor the progress of the research and training of each doctoral student on the programme, verify the training requirements necessary for the thesis defence on behalf of the Steering Committee, and authorise the submission of theses.

Composition

  1. The coordinator of the doctoral programme, who shall chair the committee.
  2. Between three and six PhD holders with proven research experience, who are members of the academic staff of the respective doctoral programme. The appointment of members of the Academic Committees of the doctoral programmes, for a period of three years, up to a maximum of two consecutive terms, except in exceptional and duly justified circumstances, is the responsibility of the EDUZ Steering Committee, on the proposal of the doctoral programme coordinator, after consultation with the programme’s academic staff. They may be removed from office by the body that appointed them, after consultation with the programme coordinator, or at their own request. The number of members of the Academic Committees shall depend on the characteristics of the doctoral programme and the number of academic staff, so as to ensure that the various research areas and teams within the programme are represented. From among these members, the programme coordinator shall appoint a secretary. In the case of an inter-university doctoral programme, the Academic Committee shall be appointed in accordance with the provisions of the collaboration agreement or convention. Should the programme not be coordinated by the University of Zaragoza, one of the committee members from the University of Zaragoza shall be appointed as the University of Zaragoza’s own coordinator.
  3. The programme coordinator may also invite any individuals they deem appropriate for information purposes; these individuals may attend meetings with the right to speak but not to vote.

Duties

  1. To organise, design and coordinate the programme, as well as to ensure it is kept up to date and to guarantee its quality, paying particular attention to consistency between the programme’s lines of research and those of the teaching staff associated with it.
  2. Establish additional requirements and criteria for the selection and admission of students to its doctoral programme, including the requirement for specific supplementary training. In particular, the endorsement of a researcher as a potential thesis supervisor may be required.
  3. Grant admission to the doctoral programme to applicants, applying a selection process should the number of applications exceed the number of places available in any given academic year.
  4. Provide information on applications for pre-admission to the doctoral programme.
  5. To assign a tutor and a supervisor to each doctoral student, as well as supplementary training where relevant, and to authorise part-time doctoral study.
  6. Assign each doctoral student to a maximum of two research areas within the programme; this assignment shall be made upon admission to the programme.
  7. To amend the appointment of the supervisor or programme director and the programme’s research area at any time during the course of the PhD, after consulting the parties concerned and provided there are justified reasons.
  8. To organise and supervise the organisation of the specific training activities of the doctoral programme.
  9. To authorise the co-supervision of a thesis.
  10. Conduct an annual review of the research progress and training of PhD students enrolled on the programme.
  11. Report requests for extensions and temporary leave of absence.
  12. Propose additional requirements for the submission of theses for the programme in the form of a compendium of publications, to be approved by the EDUZ Steering Committee.
  13. Authorise the research stays necessary to obtain the International Doctorate distinction.
  14. To process and encourage applications for theses under the international distinction scheme, international co-supervision (involving both the University of Zaragoza and a foreign university with which a co-supervision agreement is proposed) and the Industrial Doctorate scheme.
  15. To ensure and supervise the review of theses during the submission process.
  16. Grant authorisation for the thesis to proceed, after consulting the supervisor, verifying the quality of the thesis’s contributions and ensuring the documentation is properly submitted.
  17. To propose the assessment panel for the programme’s doctoral theses, to be appointed by the Standing Committee of the Governing Board, and to authorise doctoral candidates to send their panel members an errata sheet for the doctoral thesis where necessary.
  18. To decide on the appropriateness of declaring a thesis to contain protected material and to authorise its restricted defence, giving reasons for the decision.
  19. To participate in the process of awarding special doctoral prizes in accordance with the terms set out in the University of Zaragoza’s regulations on special prizes.
  20. To decide on and report on any issues that may arise in relation to the running of the programme.
  21. Implement the programme’s Internal Quality Assurance System (SIGC) as set out in the verification report.
  22. Serve on the Quality Assessment Committee for the doctoral programme, support the programme coordinator in drawing up the Annual Plan for Innovation and Improvement (PAIM) for the doctoral programme based on the Quality Assessment Report (IEC), and ensure the implementation and monitoring of the improvement measures proposed in the PAIM.
  23. Take the appropriate decisions to address, in the first instance, any conflicts that may arise during the course of a doctoral thesis.
  24. Any other powers conferred upon it by current regulations.
