Checks to be carried out prior to applying for a thesis to be accepted for examination
The submission of a doctoral thesis is a process that begins with the application for the thesis to be accepted for examination and ends with its approval by the programme’s Academic Committee. The application for thesis review must be submitted during the academic year in which the student is enrolled; therefore, if it is submitted after the date indicated in the academic calendar as the end of the academic year, enrolment for the new academic year must be completed. In any case, student insurance or accident insurance must remain valid until the thesis defence
Prior to pre-depositing the thesis, it is recommended that the PhD student contact the administrative office of their doctoral programme to inform them that they intend to pre-deposit their thesis.
They must also check that they meet the necessary requirements for pre-depositing it:
You are within the deadline for depositing the thesis.
You have enrolment for the current academic year has been formalised.
There are two positive assessments in the regular assessment period and the student has passed, or is on track to pass, the assessment for the academic year in which the submission is made. (The Academic Committee must carry out the assessment and the submission record will be generated in EDUZ).
- The student has completed the activities required under the relevant doctoral programme, and the corresponding supporting documents have been entered into the Doctoral Activities Document (DAD) via the SIGMA application, “Doctoral Programme Management”.
For the activities to form part of the DAD, which will be reviewed by the panel assessing the thesis, they must have the status “Completed”; in other words, the supervisor or a thesis director must validate them in the application. The following have been passed: additional training modules, should these have been assigned at the time of admission.

- In the case of jointly supervised theses, the agreement and any addendum(s), where applicable, have been signed and are in force.
- In the case of industrial PhD programmes, the agreement and any addendum or addenda, where applicable, must be signed and in force.
