Enrollment in a doctoral program: Key points

MENTORING Program for international students

Once admitted to the DP, international students may request a mentor who will guide them through the relevant administrative and academic processes at the university and other procedures to facilitate their adaptation to the city and, in general, to the program.

Doctoral students, as researchers in training and students of the UZ, have the duties established in general legislation, university regulations and the University Statutes. Therefore, they must ANNUALLY FORMALIZE THE REGISTRATION until the doctoral thesis is defended.

1. DEADLINES AND METHODS

Enrollment in a doctoral program must be formalized within the deadlines established in the academic calendar.

  • The registration will be carried out online through the SELF-REGISTRATION software of the UZ’s virtual secretary's office. In order to complete this process, it is essential to have obtained the PIN and the administrative password.
  • Exceptionally, those who cannot register online may do so in person by going to the UZDS Administration during office hours and handing in the completed registration form.

2. DOCUMENTATION FOR THE FIRST REGISTRATION

To complete the first registration, doctoral students must send the following documentation to the UZDS:

  • Students with previous studies completed in EHEA countries:
    • Proof of self-enrollment signed by the interested party.
    • Letter of admission to the program, detailing the extra training required, if applicable.
    • Notarized photocopy of the access-granting degree diploma (except if it was issued by the UZ).
  • Students with previous studies completed in countries OUTSIDE the EHEA:
  • Proof of having completed the self-registration signed by the interested party.
  • Original and copy of the letter of admission to the program, detailing the extra training required, if applicable.
  • Notarized, legalized, and authenticated photocopy of the access-granting degree diploma.

Students who have requested the UZ Doctoral Commission for the equivalence between their previous degree and the corresponding Spanish ones will not need to provide a copy of this resolution at the time of registration, as it will be automatically included in their record. Documents issued by a country outside the EU must be legalized, authenticated, and translated into Spanish, unless they are written in a commonly used foreign language.

Additionally, the following documentation (if applicable) must be provided:

  • Proof of entitlement to some type of discount.
  • SEPA direct debit application (signed by the account holder) for students who are making direct debit payments for the first time or who change the account holder.
  • For students over 28 years old, copy of the accident insurance receipt.
  • Students who have applied for or have a pre-doctoral contract must submit two registration slips with their original handwritten signature (since the Research Management Service needs one copy).

3. DOCUMENTATION FOR THE SECOND AND SUBSEQUENT ENROLLMENTS

Doctoral students enrolling in the second and subsequent years of tuition must submit the following documentation to the UZDS:

  • Self-enrollment receipt printed and signed by the interested party if they have enrolled on-line, or duly completed enrollment form. This receipt may be sent by electronic registration if the interested party does not need to provide further documentation.
  • Additionally, the following documentation (if applicable) must be provided:
  • Proof of entitlement to some type of discount or exemption.
  • SEPA direct debit application (signed by the account holder) for students who are making a direct debit for the first time or who change the account holder.
  • For students over 28 years old, copy of the accident insurance receipt.

4. STUDY MODE, TEMPORARY LEAVE AND REGISTRATION

Doctoral students must register annually, regardless of their study mode and year of doctorate studies, including those of extension if granted by the Academic Committee. They must also formalize the registration, even if they are in a situation of involuntary withdrawal or have taken temporarily leave.

5. ENROLLMENT OF DOCTORAL STUDENTS AWAITING THESIS DEFENSE

Once the thesis has been completed, the doctoral student will deposit it and request its admission for processing. The student must complete these procedures within the academic year in which he/she is enrolled. If by the next academic year, the thesis has already been deposited but has not yet been defended, it is not necessary to enroll in the new academic year. However, in this case the doctoral student will have to verify that the accident insurance is be active until the date of thesis defense. A copy of the insurance policy or receipt must be submitted to the Administrative Administration of the UZDS.
